Position Summary

The Bookkeeper will manage financial transactions, including accounts payable/receivable, payroll, and bank reconciliations. This role focuses on the day-to-day financial record-keeping and reporting to ensure accuracy and regulatory compliance. The ideal candidate will be highly organized, detail-oriented, and proficient in accounting software, with the ability to maintain precise financial records for the store's operations.

Responsibilities

  • Daily Reconciliation: Reconcile sales transactions with POS records, verifying sales figures, deposits, credit card transactions, and refunds.

  • Accounts Management: Process vendor invoices, manage accounts payable and receivable, ensure timely payments, and verify the accuracy of terms and credit memos with vendors.

  • Payroll Processing: Input wages, process payroll, and ensure compliance with payroll tax regulations.

  • Monthly Sales Reporting: Report monthly sales to GOA (Grassroots Outdoor Alliance).

  • End-of-Year Reporting: Prepare and submit annual membership reports for GOA, including financial details and compliance documentation.

  • Recordkeeping: Maintain organized, accurate financial records in compliance with legal requirements.

  • Software Management: Use QuickBooks to record transactions and generate reports. Verify payroll reports for accuracy.

  • Bank Reconciliation: Reconcile bank and credit card statements with internal records.

  • Financial Reporting: Prepare income statements, balance sheets, cash flow reports, and budget vs. actual reports.

  • Expense Tracking: Track business expenses for tax and accounting purposes.

  • Tax Preparation: Assist in preparing tax documents for external tax preparers.

  • PCI/Credit Card Compliance: Ensure adherence to industry regulations to safeguard customer data.

  • Financial Data Compilation: Organize financial data for review by management.

  • Annual Reporting: Compile and submit employee payroll reports and 1099s for contractors.

  • Daily Bank Runs: Handle bank deposits and change orders.

  • Sales Tax Tracking: Track sales tax for both in-store and online transactions and prepare sales tax reports for filing.

  • Process Improvement: Contribute to streamlining financial processes, including automating invoicing and improving reporting accuracy.

  • Documentation Creation: Help maintain and update the "Bookkeeping Go-To Guide" to streamline processes.

Qualifications

  • Experience: Previous experience in bookkeeping, accounting, or financial management, with retail experience a plus.

  • Education: Bachelor's degree in Accounting, Finance, or related field preferred; equivalent experience considered.

  • Technical Skills: Proficiency in QuickBooks and Microsoft Excel/Google Sheets.

  • Attention to Detail: Accuracy in financial record-keeping and reporting.

  • Mathematical Skills: Ability to perform calculations accurately and reconcile financial data.

  • Communication: Strong verbal and written skills to communicate financial information.

  • Time Management: Ability to manage multiple tasks and meet deadlines.

  • Collaboration: Work effectively with management, accounting teams, and external stakeholders.

  • Problem-Solving: Address financial discrepancies and issues proactively.

  • Integrity: Commitment to confidentiality and professional ethics.

  • Adaptability: Comfortable with changing priorities in a dynamic environment.

  • Continuous Learning: Stay updated on financial trends and best practices.

Physical Requirements

  • Able to maintain seated position at desk for extended periods

  • Capable of using computer equipment for several hours daily

  • Sufficient dexterity for typing, filing, and handling financial documents

  • Ability to lift and carry up to 20 pounds (files, supplies, equipment)

  • Occasional movement throughout the office and retail space

Compensation & Additional Benefits

  • Part time hourly flex position (10-15 hours per week)

  • This is an hourly position starting at $19.00 per hour
